Job Description:
This position supports a variety of administrative, recruiting and levels of project support to the Talent Acquisition team. This individual can be assigned to support corporate or operational recruiting teams and divisions
Job Responsibilities:
- Processing ground requisitions and verifying approval to fill new or vacant positions
- Posting jobs on internal posting system via applicant tracking system
- Creating interview guides from applicable software
- Collecting, entering, and maintaining new hire data
- Scheduling pre-placement testing/assessment dates and interviews
- Collecting, validating, and processing employment-related information for new hires
- Activities may include record setup, I-9 processing, license verification, criminal background checks, medical clearance review, fingerprinting, and validation of documentation
- Setting up new hires on the payroll system
- Collecting, entering, and maintaining applicant data
- Collecting, validating, and processing employment-related information for new hires (excludes benefit or payroll processing)
- Activities may include record setup, I-9 processing, license verification, criminal background checks, medical clearance review, fingerprinting, and validation of documentation
- Providing superior customer service to all employees by promptly responding to employee inquiries
- Achieving performance measures and adhere to established customer service standards
- Escalating non-routine matters to appropriate individuals
- Team lead liaison supporting recruiters, vendors and/or clients
- Adhering to established processes, procedures, and systems
- Interpreting standard, administrative procedures and practices
- Maintaining records relating to employee/customer inquiries
- Taking initiative to resolve problems and continuously improve Staffing Center processes
- Maintaining data integrity in all work processes to ensure compliance with federal and state regulations
- Ensuring confidentiality and security of applicant data
- Processing mail, ordering supplies and other duties as needed by the department
- Various projects, as needed
- Calculating salary determination for Management & Administrative/Union positions
- Managing mass hire and bid processes which includes scheduling interviews and coordinating training class placement, in addition to sourcing and selection processing activities
- Communicating offers or rejections to candidates via telephone, letters, email, etc.
Job Requirements:
- Understanding of staffing, recruiting and operations practices, programs and plans
- Understanding of employment laws and regulations
- Demonstrated good judgment and confidentiality
- Exceptional verbal and written communication skills with a strong emphasis on customer service
- Demonstrated experience working in a fast-paced, highly team-oriented environment
- Excellent time management, follow-through and organizational skills
- Ability to handle multiple priorities with a high degree of accuracy
- Intermediate to advanced computer skills in Microsoft Word, Excel, Outlook, Internet Explorer and databases
- Process management skills
- Adaptability and multi-task skills
Qualification & Experience:
- Minimum 1 year administrative experience required OR minimum 1 year Recruitment / Staffing Coordination experience required
- Recent experience (2014 to present) working in a Human Resources division required OR Human Resources related educational studies required
- Previous experience utilizing applicant tracking systems, internet job posting sites, and web-based database navigation preferred
